Privacy Policy

Sportcial, LLC (“Sportcial”) runs adult recreational sports leagues in the Dayton, Ohio area. To sign you up and run a league we collect some information about you. This page explains what we collect, why, who else sees it, and how to ask us to change or remove it.

The short version: we collect your name, email, phone and the answers you give on the registration form. We use it to run your league and, if you check the box, to email you about future ones. We do not sell your information. Card payments are handled by Stripe rather than by us. You can ask us to delete your information.

1. What we collect

When you register for a league

When you sign the liability waiver

When you play in the Sportcial Arcade

You can play the arcade games without giving us your details. If you land a high score you can put it on the public leaderboards under a three-character arcade name and a color you pick, rather than your real name or email. Logging in to your My Sportcial account is optional: if you do, your scores are kept with your account and you can change or clear your arcade name in your profile. To limit spam we keep a scrambled (hashed) form of the address a score came from, rather than the address itself.

When you pay

Payments are processed by Stripe on its own checkout page. Your card details are entered with Stripe and are not stored on our systems. We keep a record that a payment happened, the amount, and Stripe's reference for it.

When you create a My Sportcial account

When you use the Sportcial app

If you use the player app, we keep what you add to it, such as your RSVPs for upcoming games and the messages you post in your team's chat.

When you opt in to emails

If you check the box to hear about upcoming leagues, we record your email address, your name, and the date, source and a scrambled record of your connection, so we can show that you asked to hear from us. If you leave the box unchecked, we don't add you to that list.

Technical information

When you register, sign a waiver, or opt in to emails, we record a one-way scrambled version of your IP address. We use it to help catch abuse and to show that consent was given.

Some other parts of the site, such as the league message board and staff logins, keep a record of connections to limit spam and repeated failed attempts. Like most websites, our web host also keeps standard server logs that include visitor IP addresses. We use these to keep the site running, not to build a profile of you.

2. What we don't ask for

3. How we use it

WhatWhy
Name, email, phoneConfirm your registration, place you on a team, send game-day reminders if you want them, and reach you about schedules, field changes, rainouts and playoffs
Waiver recordTo have a record that you agreed to the waiver before playing
Registration question answersTo run the league — sizing shirts, balancing divisions, planning logistics
Payment recordConfirm what you paid, issue refunds or league credit
Marketing opt-inTo tell you when new leagues open, if you asked us to

4. Who we share it with

We do not sell your personal information. We share it with the services we use to run and promote our leagues, such as:

We may also disclose information if we're legally required to, or when it's needed to establish or defend a legal claim, such as producing a signed waiver.

What other people can see

Each league has a scoreboard for the players registered in it, once they sign in to My Sportcial, and for Sportcial staff. The other players in your league can see:

Public to anyone: your arcade name and color on the arcade leaderboards.

Some things are shared with your team rather than the public: your RSVPs and team chat messages in the app are seen by your teammates, and a chat message someone reports is seen by our staff. If you're placed on a team, its captain can see your name and whether your league fee is paid.

League and team emails go to each person separately, not as one group message.

Photos and video taken at Sportcial events, and your name and likeness, may appear on our website, social media and other Sportcial materials, as described in the waiver you sign when you register.

5. How we protect it

We take reasonable steps to protect your information, but we can't guarantee its security. Keeping the sensitive information we hold to a minimum is part of how we protect it.

6. Your choices

Stop marketing emails

Our marketing emails include an unsubscribe link. You'll still receive messages about a league you're registered for (schedule changes, rainouts, payment confirmations), because those aren't marketing.

Game-day reminders

You choose whether to get game-day reminder emails when you register. We strongly recommend them. To change your choice later, email us.

See, correct or delete your information

Email us at playharder@daytonsportcial.com and we'll tell you what we hold about you, correct what's wrong, or delete it, subject to the exception below.

One exception: if you've signed a waiver, we keep that signed waiver even if you ask us to delete your other information. It's the record that you agreed to play at your own risk.

Manage your own details

If you have a My Sportcial account you can update your name, phone and shirt size yourself.

7. Cookies and third-party requests

We don't use tracking or advertising cookies. When you sign in to My Sportcial, the player app or the arcade, or when staff and game-day volunteers sign in to our league tools, we set a cookie that keeps you signed in. Sign-in cookies are sent only to our own site and aren't used for advertising.

Our pages also keep a small amount of information in your browser so they can:

That information stays in your browser or is sent only to our own site, and isn't used to track you across other websites. You can clear it in your browser's settings; you'll just need to sign in again.

Our pages are built to load their fonts, images and scripts from our own site rather than from other companies' servers. Links to our social media pages and to map directions take you to those services, whose own policies then apply. Payments take place on Stripe's checkout page, which Stripe runs under its own privacy policy.

8. Age

Sportcial leagues are intended for players 21 and over. If you believe someone younger has registered or given us their information, email us and we'll review it.

9. Changes to this policy

When we change this policy we update the date at the top of this page. If a change significantly affects how we use information we've already collected, we may also let registered players know by email.
